Our referral relationship

Polk Auto Finder provides independent shopping information and personal inquiry assistance. We are not affiliated with or endorsed by any dealership unless explicitly disclosed. We do not sell vehicles, maintain live inventory or independently approve financing. We do not provide a comprehensive dealership comparison service.

Information you choose to send

The inquiry form collects your first name, email address, vehicle preference, general total purchase-budget preference and shopping city. Vehicle and budget choices may be left undecided. Each inquiry also includes its reference, submission time and consent version. We do not collect Social Security numbers, credit applications, banking credentials or other sensitive financing information through this website. We do not request income, credit history, driving licenses, bank details or financing documents. Do not send those details in this form or a privacy request.

Why we use and share your inquiry

We use your first name, email and shopping preferences to respond personally to your vehicle-shopping request and prevent abuse. By checking the consent box and sending, you ask Polk Auto Finder’s operator to respond by email. This is not a credit application, vehicle reservation, financing approval, marketing subscription or authorization for automated calls or texts.

Cloudflare hosts and protects the site. Resend delivers notifications only to the operator’s designated private Gmail inbox. We do not publish that inbox address or automatically forward customer information to any dealership. These providers process information as necessary to deliver hosting, security and email services.

Optional dealership introductions

Submitting the initial inquiry does not authorize dealership sharing. If you want an introduction, we first identify the dealership, explain the specific information we propose to share and its purpose, and obtain your separate affirmative permission. You may decline and continue speaking with us directly. Any later dealership recipient handles its copy under its own applicable privacy obligations and recordkeeping requirements. We cannot independently or automatically delete dealership records.

Spam protection and technical information

Cloudflare Turnstile processes browser and network information to help detect automated abuse. Hosting services receive request metadata such as IP address. Our application does not put IP addresses into inquiry emails or intentionally log form contents. The form has no inquiry database and does not store contact fields in browser storage. Entries remain on the page while you use it and are cleared after an accepted submission.

How long we retain inquiries

For ordinary inquiries, we retain operator-controlled inquiry email copies for no longer than 12 calendar months from receipt, and delete eligible copies sooner when no longer needed or after a verified deletion request. Monthly reviews look ahead to the next review date so eligible messages are removed before they exceed that period. If a specific legal recordkeeping obligation requires retention, we limit the retained information and access and review the exception.

The 12-month schedule applies to operator-controlled records, not a later dealership recipient’s separate records. No dealership retention schedule is confirmed or promised. With your permission, we can coordinate a deletion request with a recipient, but cannot control its systems or guarantee deletion of every copy. Resend documents 30-day email/log retention on its Free plan. Provider recovery periods and backups follow their policies. Moving Gmail messages to Trash is not permanent deletion; our process reviews eligible copies for final removal.

Your choices and deletion requests

Email [email protected] to ask about your inquiry, correct contact details or request deletion. If possible, use the inquiry email address and include its reference. We verify requests proportionately using the original contact channel; routine verification does not require identity documents.

We locate eligible information in systems we control, delete it subject to specific applicable recordkeeping requirements, and coordinate deletion with the dealership or provider where appropriate. We explain what was deleted, any outstanding recipient/provider request, and any justified retained information. We keep only a minimal completion record and do not copy inquiry contents into it. You can browse the guides or contact a seller of your choice without using our form. If you later permit an introduction and want to stop that seller’s response, tell the responding staff member.

Website measurement

For the approved public launch, we plan to use Cloudflare Web Analytics to understand aggregate page views, referral sources and page performance. We do not send inquiry names, emails, shopping preferences, request references or form contents to the analytics adapter. It is disabled in private review. Google Search Console provides search-performance and indexing reports; it does not require a visitor tracking tag.

Security

We use HTTPS for website traffic and require TLS for email delivery. We limit access to inquiry systems to approved people. Email is not end-to-end encryption, and no system guarantees absolute security. The form is not intended for financing applications or sensitive financial information.
